Add a time entry

There are two types of time entry:

  • Activity - These are hours that you spent working on an activity.

  • Time off/non-billable - These are for all other times that are not related to the project, and are therefore not billable to the customer.

Timesheets are pre-filled with the hours that you set up in your resource planning.

In order to invoice the customer for the time, it must be entered in VOGSY and submitted to the project’s account manager for approval.

Submitting time entries also impacts the project budget.

To add a time entry, do the following:

  1. Click timer orange Timesheets on the VOGSY side panel. The Timesheets feed will display with a list of your timesheet cards, sorted with the most recent timesheet at the top.

  2. Find the week that contains the day for which you want to add a time entry and click it. If time entries already exist for this day, they will display.

  3. Click plus circle Add Time Entry and fill out the form. See Field descriptions for more information.

  4. Click Save.

Begin typing the name of the project into the search field and it will display a list of matching projects.

The list of deliverables associated with the project that you selected in the Project field displays in this field.

Work week fields

Enter the number of hours that you worked on the activity for each day of the work week.

Flip the Show weekend toggle to add the weekend days to the Work week fields.
The default setting for entering hours is quarter-hour increments, but you can change this in the back office.

Note

Use this field for any relevant information about the activity that might be useful to the approver. For Time & Materials projects, notes that you enter here will display on the invoice.

TIP: If you want to record information for each day on which the activity was worked, you can copy a time entry (as many times as you need) and use the copy to record the additional information.

Copy a time entry

If you want to record information for each day on which the activity was worked, you can copy the time entry (as many times as you need) and use the copy to record the additional information.

Click content copy on the time entry and a copy of it will be created. The day fields and the Note field will be blank, allowing you to add different information.
