Folder locations

When installing VOGSY with your private account during your trial period, VOGSY creates a folder structure in your Google Drive or Microsoft OneDrive. Because you are using a private account, VOGSY assumes that you intend to employ it for personal use only, and thus there will be no need to migrate VOGSY-generated files to a shared location later, as you would need to do if you intend to use VOGSY as part of an organization.

Google Workspace

After installing VOGSY with a Google Workspace account, you can create a document structure from the Setup Assistant.

To access the Setup Assistant you must have the Support Staff role.

VOGSY attempts to create a Google Shared Drive to contain this folder structure. If your account does not have the appropriate permissions, VOGSY will attempt to create the folder structure in Google MyDrive.

A Google Shared Drive is an optional feature of Google Workspace and depends on your Google Workspace licence and user permissions. We recommended that you store your VOGSY-related documents in a Shared Drive. If your domain does not have access to the Shared Drive feature, we advise you to log into VOGSY with a dedicated Google Account to create the folder structure.

If the documents are stored in Google MyDrive during the trial period and you want to go live, you can migrate them to a Shared Drive during the reset. During the reset VOGSY checks for the appropriate permissions to create a Shared Drive. If the permissions exist, VOGSY will disconnect your VOGSY account from MyDrive.

After the reset, you can use the Setup Assistant to create a new folder structure in a Shared Drive. If you have already updated the provided document templates, you must move these to the new location yourself. The old folder structure in MyDrive can be deleted.

Microsoft Office 365

After installing VOGSY with a Microsoft 365 account, you can create a document structure from the Setup Assistant.

To access the Setup Assistant you must have the Support Staff role.

Initially VOGSY will not have access to Microsoft SharePoint, so the folder structure will be created on your Microsoft OneDrive drive.

Microsoft SharePoint is an optional feature of Microsoft 365, also known as OneDrive for Business.

We recommend that you store the documents in a SharePoint document library. If your domain does not have access to the SharePoint feature, we advise you to log into VOGSY with a dedicated Microsoft domain account to create the folder structure.

If the documents are initially stored in your Microsoft OneDrive drive, you can migrate them to a SharePoint Document Library during the reset. To be able to create a SharePoint Site, you must grant VOGSY access to SharePoint. This can only be granted by a domain administrator by going to Upgrade install in the back office.

To access the Upgrade install feature you must have the Support Staff role.

During the reset VOGSY checks for the appropriate permissions to access a SharePoint Site. If the permissions exist, VOGSY will disconnect from your Microsoft OneDrive drive. After the reset, you can use the Setup Assistant to create a new folder structure. It will create a dedicated SharePoint Site, with a document library.

If you have already updated the provided document templates, you must move this to the new location yourself. The old folder structure can be deleted.

Migrating folders without a reset

If you want to migrate to a shared drive but a VOGSY reset is not available, contact our support team. We can guide you through the necessary steps. You will need to move your existing documents to the new location manually.
